Production management automation Wrap the admin before you wrap.

TitanStudio is a London studio that builds automated workflows for production companies. Bid packs, crew holds, call sheets, cost tracking and delivery run off your own rate cards, crew list and sheets, so coordinators stop chasing and producers get the day back.

  • Nothing new for crew to learn
  • Runs on your sheets, WhatsApp and email
  • Fixed written quote within 24 hours of the call

Scene 01 / Bid packs

A draft top sheet the day the brief lands.

Upload the brief, the script and the boards. A first draft of the bid is built from your own rate cards and past bids, and anything the brief leaves open is flagged before it costs you.

What happens

  1. Brief, script and boards go in
  2. A draft top sheet is built from your rate cards and past bids
  3. Missing scope is flagged: VFX, shoot days, usage
  4. The bid pack is assembled for the EP to sign off

Scene 02 / Crew holds

Holds out, replies logged, nobody chasing.

Enter the dates and the departments. Your ranked shortlist for each role gets a WhatsApp or a text, replies land as first or second holds, and anyone who has not answered gets a polite nudge.

What happens

  1. Dates and departments go in
  2. Your ranked shortlist gets a WhatsApp or SMS
  3. First and second holds are logged as the replies come in
  4. Non-replies are chased and the crew list stays current

Hi Sam, are you free as 1st AC on Tue 17 and Wed 18 Nov, London? Reply 1 to go on first hold, 2 if not.

Scene 03 / Call sheets

Tomorrow's call sheet, out every night.

Schedule, locations, talent and crew calls live in one production sheet. The call sheet is generated from it every evening with the weather and the nearest A&E, and re-sent automatically when something changes.

What happens

  1. Schedule, locations, talent and crew calls in one production sheet
  2. The call sheet is generated from it each night
  3. Weather and the nearest A&E added for every location
  4. Something changes, it is re-sent with the change marked

Scene 04 / Cost tracking

The wrap report, mostly done before wrap.

Crew send receipts by WhatsApp or email. Each one is coded to a budget line, overages are flagged as they happen, and a running cost-to-complete is always up to date.

What happens

  1. Crew send a photo of the receipt by WhatsApp or email
  2. Each receipt is coded to its budget line
  3. Overages are flagged to the producer as they happen
  4. Cost-to-complete runs as you go, so the wrap report writes itself

Scene 05 / Review and delivery

One list of notes per round. One checklist to deliver.

Review links carry version control, agency feedback is gathered into one list per round, and the delivery checklist is generated straight from the media plan.

What happens

  1. Every cut goes out as a versioned review link
  2. Agency feedback lands in one list per round
  3. The delivery checklist is generated from the media plan
  4. Cutdowns, ratios, captions and clocks ticked off before anything ships

How we work

One call, one job, built around how you already work.

  1. 01One callYou walk us through how a job runs at your company, from brief to delivery.
  2. 02We map the job that costs you mostWe start with the one job that takes the most time, and map it step by step with whoever does it now.
  3. 03We build it around what you useYour sheets, WhatsApp and email. Nothing new for crew to learn, no new app for anyone on set.
  4. 04You own itIt runs in your accounts, on your data, and it belongs to you.

What does it plug into?

If your team already works in it, we build around it rather than replace it.

  • Google Sheets
  • Excel
  • WhatsApp
  • SMS
  • Email
  • The tools you already use

What it costs

Scoped per company. Fixed written quote within 24 hours of the call.

What do producers ask us?

Do my crew need a new app?

No. Crew get WhatsApp messages, texts and emails, the same as they do now, and their replies go straight back into your sheets. Nobody on set downloads anything or learns a new login.

Does it replace my coordinator?

No. It takes the chasing off them. Sending holds, nudging non-replies, re-sending call sheets and coding receipts are the hours of a coordinator's day that do not need their judgement. They stay in charge of the crew, the schedule and every call that does.

Is our data safe?

TitanStudio is a UK-based studio, and what we build runs in your own accounts. Your crew list, rate cards and budgets stay where they are now, under your control.

What does it cost?

It is scoped per company, because every production company runs its jobs differently. You get a fixed written quote within 24 hours of the call.

Can you start with one workflow?

Yes, and we recommend it. We start with the one job that costs you the most time, get it running on a live job, then add the next one only if you want it.

How long does it take?

It depends on the workflow and on how your sheets are set up today, so we will not guess here. You get an honest timeline with the quote, after the call.
